Data controller
SysPros Sàrl, Chemin des Taborneires 4, 1350 Orbe (info@syspros.ch), is the controller for the processing described below, within the meaning of the new Swiss Federal Act on Data Protection (nFADP).
Data collected
This site sets no tracking cookies. The data processed is what you voluntarily give us: through the contact form (name, e-mail, company, message), when booking a call, or when you phone us. It is used to answer your request and follow it through. The sections below set out each case, along with the providers involved.
Hosting and site security
The site is hosted on Cloudflare's infrastructure, which serves it from the point of presence nearest to you. In doing so, Cloudflare processes the technical data needed to route and secure requests, including your IP address. The contact page also loads Cloudflare Turnstile, a bot check that sets no tracking cookie: it analyses technical signals (IP address, browser header, connection fingerprint) for the sole purpose of telling a visitor apart from an automated script, not to identify or profile you.
Audience measurement
Site traffic is measured with Rybbit, a tool self-hosted by SysPros on its own server (rybbit.syspros.ch): the data is not shared with any external analytics provider. This measurement records the pages visited and their title, the referring page, query and UTM parameters, session duration, entry and exit pages, browser type and version, operating system, screen resolution, device type, and the country or region derived from the IP address. The IP address itself is not retained. No directly identifying data is collected, and visit identifiers are anonymous. This measurement sets no cookie.
Contact form
Form messages are delivered to our team by Cloudflare's e-mail sending service, from the same infrastructure that serves the site. They are neither sold nor used for marketing without your consent. Please avoid sending us a password, an access code or any other secret, whether through this form or over the phone.
Call booking
The booking button on the contact page opens a calendar provided by Cal.com. That provider's script is loaded only after you click the button, or a booking link we sent you (in our newsletter, for example), which opens the calendar directly: without one of those clicks, nothing is sent to it. Opening the calendar may cause Cal.com and its infrastructure to set technical cookies required for the module's operation and security. If you confirm a booking, the details you enter at that point are processed by Cal.com to create the appointment, and by SysPros to prepare the call.
Phone reception and voice assistant
Our phone reception may involve a voice assistant provided by ElevenLabs. An announcement at the start of the call tells you that artificial intelligence is in use and that the exchange is recorded and transcribed. The assistant collects the reason for your call, any useful detail, and the contact details you choose to leave for follow-up. It confirms no intervention, no appointment and no deadline: that always rests with our team. The data processed includes the recording of your voice, the transcript of the exchange, your contact details and the call metadata. It involves ElevenLabs and its own technical subprocessors, including the language model providers that phrase the replies. These exchanges are not used to train models: the corresponding option is disabled on our account. ElevenLabs processes this data on our behalf and on our instructions, under a data processing agreement whose Swiss annex places transfers under the standard contractual clauses and names the FDPIC as the competent authority. The company also holds ISO/IEC 27001 and SOC 2 Type II certification, two security audits carried out by independent third parties. At the end of the call, the reason for your request and your contact details are passed to our request tracking tools, where our team takes them over. Providers
The providers named on this page are the ones you interact with when browsing the site, booking a call or phoning us. To run and secure the environments our clients entrust to us, we rely on further providers: hosting and storage, backup, messaging and collaboration, identity and device management, cybersecurity and threat monitoring, remote assistance, request tracking, technical documentation and secrets management. The providers actually involved in a given contract, along with the applicable processing terms, are set out in the documentation given to that client. Processing abroad
Where processing takes place depends on the service used. ElevenLabs, for phone reception, and Cal.com, for booking, are US companies that store their data in the United States. ElevenLabs is certified under the Swiss-US Data Privacy Framework, a framework the Swiss Federal Council has recognised as adequate since 15 September 2024 for certified US companies; its certification can be checked on the official register. For flows not covered by that framework, our providers rely on standard contractual clauses. Infrastructure reached from Switzerland does not mean every support access is confined to Switzerland.
Retention periods
The audio recording and the transcript of calls are kept for seven days at ElevenLabs, then deleted. That window lets us listen back to a call if a request is unclear; after it, nothing of the call remains with that provider. The request itself, like the messages received through the form, is kept in our request tracking tools for as long as it takes to handle it and then, where a business relationship continues, for as long as its follow-up requires. Records subject to a statutory retention duty, accounting records in particular, are kept for the applicable period. Audience measurement retains no directly identifying data.
Your rights
You may request access, rectification or deletion of your data at any time by writing to info@syspros.ch. We may ask you for the information needed to verify your identity. Where your request concerns data we process on behalf of your employer or one of our clients, we coordinate it with the controller concerned. You may also contact the Federal Data Protection and Information Commissioner (FDPIC).
